Microsoft Power Apps is a low-code tool in the Power Platform that lets you build business apps without hiring developers or writing traditional code.

Apps are assembled visually with drag and drop and connected to data you already have (for example SharePoint lists, Excel, SQL or Dataverse) and can be used on both desktop and mobile. For Danish SMBs, Power Apps is typically the answer to the manual processes that live in spreadsheets and emails today: time registration, approvals, checklists, quality control and field reporting.

Combined with Power Automate, an app can trigger automated workflows so data flows onwards without manual entry. A limited edition is included in many Microsoft 365 licences, so many businesses can get started without extra investment in licensing. What is Microsoft Power Apps?

What is Power Apps? It is Microsoft's low-code tool for building business apps without traditional programming. Instead of ordering a system from a software house (or making do with spreadsheets and emails), you assemble an app yourself, visually: screens, buttons and forms, connected to the data you already have in Microsoft 365, SharePoint, Excel, SQL or Dataverse.

Power Apps is part of the Power Platform, Microsoft's combined low-code family, which also includes Power Automate (workflows), Power BI (reporting) and Copilot Studio (AI agents). Microsoft's documentation on learn.microsoft.com covers the platform in depth.

What can you build with Power Apps?

Real-world Power Apps examples from Danish SMBs are rarely about big systems, but about the small, manual processes that steal time:

  • Field registration: time tracking, mileage, material usage or damage reports, entered on a mobile and saved directly into your data.
  • Approval flows: purchases, holiday requests or invoice approvals with full traceability instead of emails back and forth.
  • Checklists and quality control: self-inspections, safety rounds and audits with photos and automatic documentation.
  • Onboarding and ordering: a single form that handles the creation of new employees or the ordering of equipment.

Common to them all: Data ends up structured in one place instead of in ten versions of the same spreadsheet.

Power Apps vs. Power Automate

The two are often confused, but each solves its own task. Power Apps is the face: the app the employee opens and types into. Power Automate is the engine room: automated workflows that react to events: send an approval, create a task, archive a document, post a notification in Teams. The strongest solutions combine both: An employee submits a report in a Power App, after which Power Automate sends the case for approval and updates the relevant systems. With Copilot and artificial intelligence making their way into the entire Power Platform, flows and apps can increasingly be built and operated using plain language too.

What does Power Apps cost?

The licensing model has three tiers. Many Microsoft 365 licences already include Power Apps in a limited form, enough for apps built on SharePoint and the standard connectors that come with the package. If the app needs premium data sources such as Dataverse or SQL, it requires a standalone Power Apps licence, available both per user and per app. The price therefore depends on what the app needs to do, not on how many apps you build. A good rule of thumb: Start with what your existing licences already include, and upgrade only once the need is proven.
